Plan a Project Kickoff That Creates a Working Agreement

A kickoff meeting should make the first week of work easier. Repeating a proposal is not enough if the people delivering the project still do not know where to ask questions or who approves decisions. Focus the session on the practical agreements that turn a signed scope into coordinated work.

Send a short preparation pack

Share the approved scope, the draft timeline and a list of decisions needed at kickoff. Ask each participant to identify missing inputs or constraints in advance. Keep the pack short enough to read. If access, source files or a key stakeholder are missing, name the gap before the meeting so it can be discussed directly rather than discovered during production.

Walk through the work, not just introductions

Confirm the outcome, responsibilities and first milestone. Identify who provides information, who does the work, who reviews it and who gives final approval. Discuss the normal communication channel and the route for urgent blockers. Check time zones where relevant. A team can have clear individual tasks and still struggle if the handoffs between them are undefined.

Finish with an actionable record

An illustrative kickoff note might list three immediate actions: the client supplies approved text, the project lead confirms access and the designer prepares the first structure. Give each an owner and a date. Keep unresolved questions in a separate section with someone responsible for finding the answer. Send the note after the meeting and invite corrections to the agreed facts.

  • Confirm the scope and the first reviewable outcome.
  • Assign owners for inputs, reviews and approvals.
  • Agree communication channels and response expectations.
  • Record open questions with a named next action.

Take it into your working day

A good kickoff produces shared working rules and a clear first step, not simply a calendar event everyone attended.
