Choose What to Outsource First With a Small, Testable Scope

The first outsourced task should be easy enough to understand and important enough to evaluate. Choosing the most complicated unresolved problem can make it difficult to tell whether the arrangement works. Start by examining the tasks around your business and how clearly each one can be handed over.

Look for a task with a visible finish

Good starting candidates often have repeatable inputs, a defined output and an available reviewer. Examples might include preparing a research list from agreed criteria or organising documents under an approved structure. Consider whether the work can be described accurately and whether the person receiving it will have access to the necessary information.

Consider what must stay with the business

Identify decisions, relationships or approvals that cannot be delegated within the proposed scope. Outsourcing a task does not automatically transfer authority to make commitments. For example, preparing customer reply drafts can be separated from approving unusual refunds or changing service terms. Make the boundary clear before selecting a provider or starting a pilot.

  • Explainability: can someone understand the task from a brief and example?
  • Reviewability: can you recognise a correct result?
  • Readiness: are the inputs and approved access available?
  • Ownership: is there a person who can answer questions and approve work?

Start small enough to learn

Choose a limited batch or a defined trial period and agree the review criteria. Look at output quality, communication, clarification needs and the effort required from your team. Avoid measuring only how quickly work is delivered if the result needs substantial correction. Use what you learn to improve the brief, adjust the division of responsibilities or decide that another task is a better fit. Expansion should follow a workable process rather than an expectation that every task can be transferred at once.

Take it into your working day

Choose a first task with clear inputs, a visible result and a person ready to review it.
