Maintain a partner contact list that preserves the relationship

A partner list is not simply a directory of names. It supports relationships that may involve referrals, delivery coordination or shared projects. The information should help a colleague contact the right person for the right reason without losing the history of the arrangement.

Define the relationship before the fields

Identify the types of partners the list contains and what the team needs from each relationship. A referral partner, supplier and delivery collaborator may require different information. Use a shared core record, then add only the fields relevant to the relationship.

Record the organisation, named business contact, role, appropriate contact route, internal owner and relationship status. Keep agreements in a secure location and link only to material the user is authorised to access.

Keep updates attributable

Include when a contact was last confirmed and who made the update. When someone changes roles, preserve relevant context instead of simply replacing the name. Mark uncertain information clearly and avoid sending important instructions to an old address without checking.

  • Current contact and area of responsibility.
  • Last meaningful discussion and agreed next step.
  • Internal owner and backup contact.
  • Restrictions on sharing or using the information.

Review the list around real work

For example, before launching a joint project, confirm who handles scheduling, delivery questions and approvals. One person may not own all three. Update the list after the discussion so other team members do not have to reconstruct the arrangement from private messages.

Avoid adding contacts just to increase the size of the database. Review dormant relationships and distinguish a historical record from an active partner. If communication preferences change, update them before the next outreach. A reliable list respects the relationship and reduces confusion when responsibilities move between people.

Take it into your working day

A useful partner record tells your team who to contact, why, and what has already been agreed. Keep the context as current as the address.
