Review Your Virtual Assistant Workflow Before Adding More Tasks
Once a working relationship has settled into a routine, it is useful to review the system around the tasks. The purpose is not to search for mistakes. It is to understand whether the arrangement still matches the business’s needs and whether both sides have the information required to work well.
Look at a representative period of work
Review completed tasks, delayed items, revision requests and questions raised over a normal working period. Include different types of work rather than selecting only the best or worst example. Compare the results with the original brief and ask whether the priorities have changed since the arrangement began.
Find the repeated sources of friction
Group issues by cause: unclear instructions, missing access, slow approvals, changing priorities or an unfamiliar task. A repeated problem often needs a process change instead of another reminder. For example, frequent revisions to social posts may indicate that the approval criteria or source material need to be agreed earlier.
- Keep: tasks that are clear and consistently useful.
- Improve: work with repeated questions or avoidable revisions.
- Pause: activity whose purpose or priority is no longer clear.
- Add: a suitable next responsibility with enough time and context.
Agree a small improvement plan
Choose a few changes that can be observed in the next review period. Name the owner of each change, including improvements the business itself must make, such as supplying information earlier. Avoid treating every delay as a performance problem if the worker was waiting for a decision. Confirm the revised workload and expectations together. A useful review ends with a clearer arrangement and a realistic next step, rather than a longer task list added on top of unresolved problems.
Take it into your working day
Review the workflow around the work, then improve the causes of repeated friction before expanding the scope.
