Plan a contact form that starts a useful conversation

A contact form is a handover between a visitor and your team. Its job is to collect enough context for a sensible reply. A beautiful form still creates frustration when the message disappears, reaches the wrong person or asks questions the visitor cannot answer.

Decide what the first reply needs

Write a sample first response before selecting fields. If your team can begin with a name, reply address, service interest and short description, start there. Make optional details visibly optional. Do not request passwords, account access or sensitive project files during an initial enquiry. Those belong in a separate, agreed onboarding process when necessary.

W3C's forms guidance emphasises clear labels, instructions and feedback. Ask your developer to include these behaviours from the first draft rather than treating them as visual finishing touches.

Map the message after submission

Name the inbox owner, backup owner and internal routing rule. Decide how messages will be tracked and when an unanswered enquiry should be reviewed. The visitor's confirmation should describe the next step accurately, without promising response times the team has not agreed to maintain.

  • Show a useful success message only after the submission succeeds.
  • Give the team the selected service and original message together.
  • Keep a clear alternative contact route available nearby.
  • Test delivery to the real receiving inbox before launch.

Walk through a realistic enquiry

Imagine a visitor requesting weekly administrative support without knowing the exact hours. Let them explain the situation in plain language instead of forcing a precise package choice. Submit this example from a phone, then check what the receiving colleague actually sees.

The common mistake is testing only the button animation. Also check invalid input, delivery failure and the confirmation wording. Record the test date and owner so the same journey can be checked again after hosting or form changes.

Take it into your working day

Design the visitor's experience and the team's handover together. A contact form is complete when a real enquiry can receive a clear next step.
