Organise Logo Files So Nobody Uses the Wrong One

A folder containing dozens of similar logo files can be surprisingly hard to use. People often choose the first file that opens, even when its background or proportions are wrong. Organising the library around intended use is a practical way to make the correct choice easier.

Keep an untouched master library

Store original artwork separately from everyday exports. Label the master folder clearly and give editing access only to people who maintain the identity. Keep any usage notes, font information and original design handover together. A renamed export should never silently replace the source. When the identity changes, retain the old edition as an archive with a clear date.

Make the everyday choices obvious

Create a small approved set for a light website header, a dark background, a square profile and a document footer. Use filenames that describe layout, colour treatment and intended size. For example, “brand-horizontal-light-800.png” is easier to choose than “logo-final-new-7.png”. Include a preview sheet so people can recognise each version before opening individual files.

Check files in their actual setting

Place the selected logo in a sample header, slide and social profile preview. Confirm that it is readable, has enough surrounding space and has not been stretched. A transparent file may look empty against the wrong background, so test both light and dark surfaces. Avoid passing a tiny web export to a printer without checking what file the printer needs.

  • Keep masters, approved exports and archived editions separate.
  • Document the intended background for each logo version.
  • Provide a square icon as well as a horizontal mark.
  • Record the owner and date of the current brand edition.

Take it into your working day

The goal is not to keep every export visible; it is to make the right approved file easy to recognise and retrieve.
